More Control Over Smart Follow-ups

We’ve expanded Smart Follow-ups to give you greater control over how follow-up suggestions are generated and prioritized.

Customize smart follow-up rules

Fine-tune how Mailbutler identifies emails that need your attention by configuring the behaviors and thresholds that matter most to you.

You can now create custom rules for:

  • Unopened emails Trigger follow-up suggestions when an email hasn’t been opened after delivery for a specified number of minutes, hours, days, or weeks.

  • Missing replies Get notified when no reply has been received within your chosen timeframe.

  • Quick opens Detect interest when recipients open your email within a defined number of seconds, minutes, hours, or days.

  • Repeat opens Define your own thresholds for high interest and extreme interest based on how many times an email is opened.

  • Link engagement Identify engagement through link clicks, including clicks within a specific timeframe and multiple-click thresholds.

Disable smart follow-up suggestions

Prefer to manage follow-ups yourself? You can now choose to disable smart follow-up suggestions while continuing to use Mailbutler’s email tracking features.

Set the urgency level for manually marked follow-ups

You can now define the minimum urgency level assigned to emails that you manually mark for follow‑up: low, medium, or high.

This ensures your manually marked follow‑ups are prioritized appropriately and appear alongside smart follow‑up suggestions according to your preferred urgency threshold.

Configure everything in one place

All smart follow-up settings can be managed from:

Account & Preferences → General

There, you can adjust urgency levels, enable or disable suggestions, and customize the rules that power your follow-up recommendations.

Smart Assistant (Maia) Gets a More Intuitive Layout

We’ve made it easier to access your favorite Smart Assistant features by replacing the Smart Assistant avatar with dedicated action buttons in both the current message view and draft view.

Faster access to Smart Assistant actions

Instead of opening the Smart Assistant through a single entry point, you can now access individual Smart Assistant actions directly from the configuration panel.

This reduces clicks and makes it easier to jump straight to the action you need.

Smarter and smoother experience

Smart Assistant actions are now decoupled and presented individually, helping you discover and use features more efficiently. The updated layout also prioritizes actions based on your most recent usage, so your go‑to tools are always within easy reach.

Tag Syncing Across Emails, Notes, and Tasks

We’ve streamlined the way tags work across Mailbutler to make organizing your work more intuitive and consistent.

Automatic tag syncing

Tags added to an email are now automatically applied to all notes and tasks attached to that email. Likewise, when a tag is removed from an email, it will also be removed from any associated notes and tasks.

This ensures that related items stay aligned and properly categorized without requiring manual updates.

More consistent organization

By keeping tags in sync across emails, notes, and tasks, you’ll spend less time managing metadata and more time focusing on your work. Everything connected to an email now stays organized together.

Flexible control for notes and tasks

Need to make an exception? No problem. Removing a tag from a note or task will only affect that specific item. The same tag will remain on the parent email and any other attached items.

This gives you the flexibility to customize individual notes and tasks while maintaining a consistent tagging structure where it matters most.

Choose how you want to build your automations:

  • Add automation presets – Select from common, ready‑to‑use workflows

  • Create automations manually – Start from scratch and customize every detail

Flexible rule-based workflows

Create automation rules using a combination of:

  • Triggers (when something happens)

  • Optional conditions (refine when rules apply)

  • Actions (what should happen next)

Trigger actions from key email events

Automations can run based on events like:

  • Email draft created

  • Email draft updated

  • Email delivered

  • Email opened

  • Email link clicked

  • Email assigned

  • Task/note added

  • Task/note deleted

  • And more

Automate repetitive tasks

Once triggered, your Mailbutler automations can take care of actions such as:

  • Adding To, Cc, or Bcc recipients

  • Inserting signatures

  • Adding or removing tags

  • Adding tasks or notes

  • And more

This helps you reduce repetitive work, stay consistent, and focus on the conversations that matter most.

Omit Email Closings in Smart Assistant Drafts

We’ve added more flexibility to how the Smart Assistant composes emails. You can now choose to omit email closings when generating drafts with the AI-powered assistant.

Avoid duplicate sign-offs

If your email signature already includes a closing (like “Best regards” or “Thanks”), you can simply turn off the “Include email closing” toggle. This prevents the Smart Assistant from adding a closing to the email body, keeping your messages clean and free of repetition.

Tailor drafts to your preferences

Whether you prefer a full email or want to rely on your signature for the final touch, this setting lets you adjust Smart Assistant drafts to match your workflow.

When creating an email signature, you can ask the Smart Assistant wizard to detect and fetch publicly available contact information using just your company email address. The wizard then automatically adds these details to your signature template, saving you time and reducing manual entry.

The new onboarding wizard is designed to help you hit the ground running — with smarter defaults, less setup effort, and guidance whenever you need it.
